Modernizing Financial Operations for a Mobile App & Design Company

The Client

A growing mobile app and digital design company that creates and curates brands with a focus on thoughtful, user-first experiences, offering an alternative to the dark patterns and poor user experiences common across today’s digital landscape.

As the company grew, its financial operations became increasingly complex, particularly across multiple entities and currencies. To support this growth, the company partnered with Echo Park Consulting (to modernize its financial infrastructure and move beyond the limitations of its legacy QuickBooks system.

Legacy System: QuickBooks

The Challenge

The company was managing its financial operations in QuickBooks, which was no longer equipped to support the complexity of its growing business.

Revenue recognition was calculated by hand, app by app, in Google Sheets. The group spanned a US parent and a European subsidiary in a second currency, with monthly intercompany eliminations done manually. There was no accounts-payable reconciliation process in place, and the chart of accounts needed restructuring mid-project.

The Solution

Echo Park Consulting migrated the company from QuickBooks to Rillet, implementing a more robust ERP foundation designed to support its multi-entity and multi-currency operations.

EPC delivered a full subledger migration, including:

  • General Ledger

  • Accounts Payable (AP)

  • Accounts Receivable (AR)

  • Fixed Assets

  • Depreciation schedules

The implementation also introduced Rillet’s cash reconciliation capabilities, helping replace manual reconciliation processes with a more streamlined and efficient approach.

The result was a centralized financial system that provided greater visibility into AR and AP across entities and currencies, while reducing reliance on disconnected spreadsheet-based processes.

The Results

Before the migration, the monthly close ran on roughly 50 recurring checklist items, most of it manual: pulling and reconciling data scattered across disconnected systems for card spend, billing, payroll, and CRM. Moving and matching that data by hand was the heaviest part of every close.

The connectors absorb the data work
On Rillet, native connectors to the spend, billing, payroll, and CRM systems (Ramp, Stripe, Rippling, Salesforce) sync transactions automatically. The manual data movement that filled the old close mostly disappears, taking the checklist from about 50 items to roughly 40.

EPC delegates preparation to AI
Within those 40, EPC configures AI agents as preparer and the Controller as reviewer. About 30 of the 40 tasks become AI-prepared and human-reviewed, so the Controller approves work instead of performing it.

Reduced manual processes
The Controller goes from owning roughly 50 manual items to actively owning about 10, with the rest handled by connectors or prepared by AI under their review.

The multi-entity, multi-currency books were migrated and tied out cleanly first, and that's what lets the Controller trust the numbers the automation produces. That trusted foundation is what makes a continuous close possible: running on data the team can stand behind, with a clear human accountable at every step.

Key Takeaway

By replacing QuickBooks and fragmented spreadsheet processes with Rillet, EPC helped the company move toward a more connected, flexible, and scalable finance operation, giving its team greater visibility and a more efficient way to manage financial operations across entities and currencies.

Customer Perspective

“The new setup gave the team more flexibility and visibility managing AR and AP across both entities and both currencies than the prior spreadsheet-and-manual-eliminations process, and the cash reconciliation module made reconciling faster.”
